Zoom
Mindbeat platform offers in-browser video call functionality which caters for video calls without installing any additional software. The quality of the call depends on a lot of factors (e.g.: kind of device, operating system, internet speed). In some scenarios where the in-browser calls are of low-quality, alternative video conferencing tools (like Zoom) can still offer a good calling experience, and calls will benefit from the same intuitive "fixing" of audio & video issues that Zoom does automatically in the background.
On Mindbeat, you can connect your Zoom account to enable the platform to show a "Switch to Zoom" button to appear on your coaching calls - so that you can easily coordinate with your coachee to switch to a backup option. Alternatively, for situations where you've identified that the in-browser calls don't work for a particular coachee (e.g.: their device is incompatible) we can configure your coaching programme to only use Zoom - in these cases please reach out to support!

Prerequisites

Connect to Zoom
To connect To Zoom, navigate to your Settings page and click the "Connect" button as shown below.
You'll be redirected to Zoom to login and authorise Mindbeat.
Once connected, you'll see Zoom labelled as "Currently connected" (screenshot below).
Disconnect Zoom
To disconnect Zoom, navigate to your Settings page and click the "disconnect" button as shown below.
Using Zoom
Once connected, all of your coaching calls will automatically show a blue button labelled "Switch To Zoom" to you and your coachee which will allow you to easily coordinate moving to the Zoom platform.
Clicking the button will take you to the Zoom meeting page in a new tab, which will subsequently launch Zoom. Please remember that your coachee will need to click the "Switch to Zoom" button too, you will need to remind your coachee to click the 'Switch to Zoom' button at the same time.
Your Mindbeat coaching session will still be open in the original tab, so please consider turning off the microphone and camera on that tab to prevent possibly echo. Your notes and other coaching features will be available here.
Ending the Session
1. To end a Zoom call, click on the "End meeting" button on the bottom right of the call. This will end the Zoom call for all participants.
2. The session on Mindbeat won't end automatically - and requires you to click on the "End Session" button on the original video call page for the call to be logged on Mindbeat. Please remember to complete the feedback questions once the call has ended and also please remind your Member to click back to Mindbeat and complete the feedback questions as well.
It's important to remember that you must already be signed in to zoom (via the internet) in order to "Switch to Zoom" within a coaching session. Check that you are signed into zoom here.
Hosting Group Sessions or Three Way Conversations?
If you are hosting Group Sessions or Three Way Conversations with Mindbeat, it's important to remember that you will need a Pro Zoom Account in order to host a session with multiple participants beyond the 45 minute limit.
Some FAQs about Zoom
1. What happens when I click the "Switch To Zoom" or "Start Zoom Meeting" buttons?
A Zoom meeting will open up for you - but not for the other participant. You will need to coordinate with them to click on the Zoom button themselves to join you in the Zoom meeting.
2. What does my coachee see?
Your coachee will see the same Zoom button as you do. If they click the Zoom button, it will open up the same Zoom meeting for them.
3. What happens to the in-browser video call when we switch to Zoom?
Switching to Zoom opens up Zoom in a separate tab, which then launches the Zoom software client. The in-browser video call (on Mindbeat) will remain connected. You can switch back to Mindbeat to take your notes, and later to end the session, but might want to mute the in-browser call to prevent any unwanted feedback.
4. What happens if we need to switch back to the in-browser video call?
The in-browser video call is unaffected by the switch to Zoom - if either participant left the video call page, returning to it will reconnect you to the call.
5. Is Zoom secure?
Zoom has recently had some bad press around their default security settings, and some incidents of "zoombombing" where strangers are able to gain access to meeting in progress.
Rest assured that Mindbeat has taken all necessary measure to ensure that any Zoom meetings created are secure: under the hood, every Zoom meeting created is password protected. For convenience, the password is automatically used when launching Zoom meetings from the platform - but anyone else trying to access the meeting will be denied entry.
